How to issue and send an invoice

In a few minutes you issue an invoice, email it to your customer with a QR code for payment and see who has paid.

Steps

  1. Open Invoices and fill in the Billing profile: company name, address, company ID and IBAN. If you are VAT registered, tick that and add your VAT ID. You do this once, we prefilled what we had from Settings.
  2. Add a customer under Customers: name, address and the email the invoice will go to.
  3. Click New invoice, choose the customer and check the dates. The due date follows your profile. Also pick the language in which the customer gets the invoice and the email.
  4. Add items: name, quantity, unit and price excluding VAT. If you are VAT registered, pick the rate too. You see the totals right under the items, and you can add a discount in percent.
  5. Click Save draft and then Preview and print. The invoice opens as an A4 page you can print or save as a PDF.
  6. Click Issue and email. The invoice gets a number (for example 2026001) that also serves as the payment reference, and it can no longer be changed. The customer receives an email with a link and a QR code for payment.
  7. When the customer pays, open the invoice and click Mark as paid. If they do not pay by the due date, the invoice shows as Overdue and you can send a reminder in one click. In the profile you can also turn on an automatic reminder three days after the due date.

At the end of the month download the month's CSV under Invoices and send it to your accountant. Issued invoices are never deleted, only canceled, so the number sequence stays complete.
